Who can use BibRoomz?

Our booking system is currently only available to students and employees of the HU Berlin, members of the Charité, as well as all registered library users with proof of disability. Booking is not possible for non-HU members.

Log in the same way as you would into your Primus library account:
  • HU account (account@hu-berlin.de)
  • library card (HUUB/HUCH...) and your personal password

A library card is mandatory.

How do I make a booking?

  • Select your preferred language in the upper right corner of the BibRoomz landing page.
  • After successful registration, select the desired category and choose a room.
    A description of the rooms can be found behind the info button next to the room number.
  • Select a time slot, check the booking and, if necessary, adjust the times using the drop-down menu.
  • If necessary, enter the account of a second person who must confirm the booking.
  • You can optionally assign a publicly visible name or keyword to your booking.
  • Hit “Create” to finalize your booking. You will receive a confirmation e-mail with all relevant details.
  • The rooms are freely accessible. You do not need to collect a key.

How do I confirm a booking?

Several of our room categories are specifically intended for group use. In order to facilitate this, these categories need to be booked by two people.

  • Person 1 creates a booking and enters the account of person 2 in the "Confirmation" field.
    This is done in the same way you log in to BibRoomz, e.g. account@hu-berlin.de.
  • Person 2 receives an e-mail asking for confirmation. After logging in to BibRoomz, the booking can be found in the corresponding category and can be confirmed there.
  • A booking is active only after successful confirmation. The booked time is deducted from the quotas of both accounts. Without confirmation, the temporary booking expires after 24 hours.

Adjust/cancel bookings

When logged in, all currently active bookings are displayed to the right of the timetable of their respective category. The same information can be found below the timetable on the mobile version of the site. There are buttons to “Delete” or “Edit” next to each booking. Alternatively, click or tap the respective booking in the column itself to bring up the window to edit or delete it.  

What are booking quotas?

Each user has three quotas assigned to them. These limit

  • how many hours a day any given category can be booked for,
  • how many hours a week it can be booked for,
  • and how many times it can be booked per week in total.

Deleting a booking frees up the respective quota portions again. If you cannot make a booked timeslot after all, we kindly ask you to cancel ahead of time, in order to preserve your own quotas, as well as to free up the slot for others.

Weekly quotas reset each Sunday.  

How far can I book in advance?

You can book up to two weeks in advance. Use the arrow buttons above the timetable to cycle through dates. 

Do I need a booking to use the services?

If a room is unoccupied, it is available to everyone on a first-come, first-serve basis, as has been the case. However, you are required to give precedence to someone with an active booking for the current timeslot. Other services, such as tech, can only be accessed through the booking system.
